The Contacts and Lists feature provides a streamlined way to manage and engage with your leads. By centralizing all contact data in one place and allowing easy list creation, you can better organize, track, and communicate with your audience. Whether you're working with form submissions or manually inputting data, this feature helps you handle your contacts more efficiently.
Contacts
Contacts represent unique individuals or leads whose data is stored and tracked in one centralized record. Whether contacts are created automatically from form submissions, imported in bulk from existing leads, or manually added, their information will be consolidated to prevent duplication.
Access and Add Contacts:
Contacts can be found on the menu on the left of your Dashboard, below the Assets section.
Here, you can access all your existing contacts and see all their details based on the predefined fields.
You can add a new contact manually by clicking on the Add new contact button from the right corner and entering the details of your lead.
On the other hand, you can import contacts from your preexisting leads. To do so, click on Form Submissions. Here, you can select either a specific page, as shown in our article here: https://d.pr/E4GpHT, or all the leads from the workspace and click on the checkbox for the leads that you want to send to contacts or on the top checkbox to select all.
After the lead(s) is/are selected, click on Send to contacts and here you will do the following:
- Select a list where the contact should go to, or if not choose None.
- Map the fields of your lead to match the ones that you want to see in your Contacts section. The Email field is marked with an asterisk and that is mandatory and it will always have to be mapped. If the field is not mapped, an error will be returned. If a specific field cannot be found but you want to display it, you can select Auto Generate. If you do not want to map one field, select None.
- Once done, click on Finish. The lead will take maximum 5 minutes to be sent to your Contacts.
Search and Filter Contacts
You can use the Search bar to look for a certain contact or you can click on the Filter button and choose one filter to filter the leads on. Select one of the operators and add a value and once done, click on Apply.
Download, Delete or Add Contacts to Lists
If you want to download all contacts, you can click on the top checkbox to select all of them, click on Actions and then Download. The same can be done if you click on the three dotted menu at the top of all contacts and select Download. Here you can also send to a list or delete all the contacts.
If you wish to choose certain contacts, you can check the boxes only of those contacts and then download only those as mentioned above.
In the same view, if the checkboxes have been ticked, under the Actions button, you can also Add the contacts to a specific List or choose to delete them.
The same can be done per contact by clicking the three-dotted menu for one contact, which lets you add it to a list, edit it, or delete it.
Lists
Lists are collections of contacts that allow you to organize and target your outreach more effectively.
Access Lists
The Lists can be found under the Email button from the menu on the left, right under Contacts.
Create New Lists
You can create a list by clicking on the Create new list button. Here, you can give it a name. At the moment, only Static lists can be created, so the list type selection button will be grayed out.
Access contacts within a list
If you click on the name of one list, you will be taken to the contacts inside of that list. Here you can see the details of teh contacts based on their fields and you can also filter them, by clicking on the Filter button.
Select one of the operators and add a value and once done, click on Apply.
If you want to download all contacts within that list, you can click on the top checkbox to select all leads, click on Actions and then Download. The same can be done if you click on the three dotted menu at the top of all contacts and select Download. Here you can also send all contacts to another list or delete all of them.
If you wish to choose certain contacts, you can check the boxes only of those contacts and then download only those as mentioned above.
In the same view, if the checkboxes have been ticked, under the Actions button, you can also Add the contact to another list or choose to remove it.
The same thing can be done per contact by clicking the three dotted menu for one contact which let’s you to add it to a list or remove it.
Search and Filter Lists
You can use the Search bar to look for a certain list or you can click on the Filter dropdown and choose one that matches what you are looking for.
Rename, Download and Delete
You can click on the three dotted menu for each list and you will be able to Rename it, Download the whole list and its contacts or Delete it.
